## Bringing 25 years of early learning experience to the conversation

**Mike Bachman** brings 25 years of experience in early learning and a strategic perspective on the challenges shaping the field today. He began his career as a Pre-K teacher, later served as a child care director for a program supporting more than 200 families each year in Indianapolis, and went on to work in coaching, grant administration, accreditation, partnerships, and state-level initiatives. ## What to know about Shine Insight.

As you prepare for the new Shine Insight experience, we want the path forward to feel clear. Here are answers to common questions about what's changing, key features, how the platform works, and how Shine Early Learning will support you along the way.

About the new Shine Insight

Is this a completely new system, or an upgrade to the Shine Insight I already use?▼

The enhanced Shine Insight is a rebuilt and significantly expanded version of the system your team already relies on. Your core workflows, including family services, health documentation, attendance, and enrollment, are all part of the new experience. The navigation is different, many capabilities are more powerful, and the platform has been rebuilt on a more modern foundation. It is not a different product. It is a meaningfully better version of the tool your team already knows. 

Who is Playground, and what is their role in the enhanced Shine Insight?▼

Playground is our technology partner. The enhanced Shine Insight is built on Playground's platform architecture, which brings a powerful and modern technical foundation to the product. Shine Early Learning co-developed this experience with Playground specifically for Head Start and Early Head Start programs, contributing our deep operational knowledge, Head Start-specific workflows, and program expertise. Shine Insight is our product. Playground enables it.

Will the workflows my team depends on still be there?▼

Yes. The core workflows your team uses every day are fully part of the enhanced experience, including family services (strength assessments, family goals, engagement activities, case notes), health and DMH documentation, education screenings, attendance tracking, pre-enrollment and eligibility, and the online family application. These have been rebuilt to be more connected and easier to use, not removed or replaced.

Is Shine Insight still built specifically for Head Start programs?▼

Yes. The enhanced Shine Insight experience is built specifically for Head Start and Early Head Start programs. While Playground serves the broader early learning market, our enhanced product has been co-developed around Head Start-specific workflows, compliance requirements, service areas, and reporting needs. That specificity is a core part of what makes this platform valuable.

Features and Capabilities

What are the biggest capability improvements in the enhanced experience?▼

- **Family communication** now includes multi-channel messaging (chat, SMS, email, and Feed), AI-assisted drafting, and options for families to receive messages without downloading an app.
- **Attendance** now supports contactless check-in via QR codes and PINs, reducing manual entry.
- **Digital paperwork** allows for fully customizable forms with e-signatures built in.
- **Task management** is fully integrated, with referrals and follow-up activities automatically generating assigned tasks.

Can we customize modules and fields for our program?▼

Yes, with some important context. Several modules are available for customization, including Disabilities/Mental Health, Family Case Notes, Family Engagement, and Home Visit/Conferences. Custom fields can also be added to student records to capture program-specific information. Some modules, including Strengths Assessment, Family Goals, Concerns, Referrals, and Health and Education Screenings, have complex built-in logic that makes them non-customizable in their structure, but their content options (such as screening types, goal library options, and referral partners) can be configured for your program.

What is the Feed, and how does family messaging work?▼

The Feed is a communication channel that allows you to send messages and updates to families, and can be used via SMS or email, meaning families can receive those messages without downloading an app. Chat, a separate feature, is app-based and enables more direct back-and-forth communication. Both tools are available in the enhanced experience, and both include AI-assisted suggestions to help your staff write clearer, more effective messages. You can message at multiple levels: individual family, classroom, center, or program-wide.

Will we have dashboards in the enhanced experience?▼

The enhanced Shine Insight includes reporting capabilities, scheduled reports, and a custom report builder at launch. Other features are on the development roadmap and will be added as the platform continues to mature post-launch. 

How does the enhanced experience support PIR reporting?▼

PIR support is being developed as part of the launch, and we are working through the specifics of exactly which data elements, calculations, and exports will be available at go-live. We will share detailed information on PIR capabilities closer to launch, once these details are finalized. Your success manager will be the best point of contact for updates specific to your program's reporting needs.

What tasks can be assigned and tracked in the new system?▼

Any staff member with the appropriate permissions can assign tasks. Tasks can be connected to specific areas of the system, such as a referral that needs follow-up or a screening that needs scheduling. You can view task status, work through tasks one at a time, and track completion. Specific actions in the system are designed to automatically generate follow-up tasks so nothing falls through the gaps.

Health, Screenings, and Documentation

Can we customize the types of health screenings we track?▼

Yes. Screening options are customizable to fit your program's requirements. You can add any screening types your program needs. Custom forms from the Paperwork module can also be appended to any health screening to collect additional information specific to your workflow.

How do we document and follow up on referrals?▼

Both internal and external referrals can be tracked within a specialized referrals module.

When an internal referral is active, you can add notes directly within the referral module to document next steps. Referrals automatically flag a follow-up task so staff know action is needed.

For external referrals, you are required to add a services-received date, creating a clear documentation trail. The external partner list is fully customizable in your settings.

Where do we document IEP and IFSP meeting notes?▼

A Disabilities and Mental Health notes module is being developed to handle IEP and IFSP meeting documentation specifically. This will be available in the platform, and your success manager can provide more detail on its configuration as launch approaches.

Enrollment and Family Information

How is eligibility tracked for siblings?▼

Eligibility is tracked on a child-by-child basis. If your program needs to track additional information beyond the existing options, custom fields can be added to the student record to capture what you need.

Where do we document pre-enrollment contact with families?▼

Pre-enrollment notes can be added directly in the Enrollment tab using the "Add a Note" feature. Legal and custody-related information is tracked through OFA questions in the Paperwork module, which can be customized for your program's specific needs.

Transition and Launch

Is the enhanced Shine Insight fully ready, or still being developed?▼

The enhanced Shine Insight is actively being built and refined. The core capabilities confirmed for launch include family services, health and DMH tools, education screenings, attendance, digital paperwork, family communication, reporting, and task management. Some features, including the full reporting suite, PIR functionality, and visual dashboards, are still being finalized and will continue to develop post-launch. We will always be transparent about what is available and what is still in development.

Will new features keep being added after we go live?▼

Yes. The enhanced Shine Insight is designed to grow and improve continuously after launch. Because it is built on Playground's modern platform architecture, the team is able to add, refine, and expand capabilities on a rolling basis. Programs can expect regular updates, and your feedback as a current customer directly shapes where development goes next.

What support will we have during the transition?▼

Every program transitioning to the enhanced experience is supported by a dedicated success manager throughout the process. Your success manager will work with your team on configuration, lead your pre-launch orientation, and be available during go-live to resolve issues quickly.
